Placing An Order

I’m ready to book Unavia Vintage rentals. What is the process?

Browse our collections to see the pretty things that catch your eye. Jot down your favourites or use the ‘add to wishlist’ tool to track what you’ve fallen in love with. When you’re ready, [get in touch] with your choices and the date you would need them!

After you contact us, we’ll send you a custom proposal including the delivery estimate.

What area do you service?

Proudly serving the Thousand Islands Region, Kingston, Perth, Greater Ottawa + Gatineau Hills, and beyond from two convenient locations in Brockville, Ontario, and Wakefield, Quebec.

If you live outside these regions and wish to book with us — we can always find a solution!

When should I reserve?

Since we are a small business and our inventory is unique and of limited quantities, we book up fast! We suggest booking your items a minimum of 4-6 months before your event date to ensure availability. Reach out with dates and we can let you know what our calendar looks like.

What fees or deposits are associated with the rental?

Once you’re ready to commit, we’ll require a signed rental agreement along with a non-refundable retainer of 50% of the rental invoice. We’ll reserve your items for the desired date once we have both. The balance is due 14 days before your event date.

A refundable security deposit is due two weeks before your rental period. The amount will be based on a percentage of your total rental order. Once everything is returned and inspected we will return the deposit within 7 business days.

Do you have order minimums?

For pick-up orders, a minimum rental fee of $50 is required. For events occurring 8+ months out, the minimum rental order is $500.

A coordination fee of $25 will apply to all pick-up orders under $100 which covers the UV Team to pull, pack, and clean the pieces for you. 

If you wish for delivery the minimum rental order is $300 plus delivery charges. Delivery does not include set-up and styling but is available for an additional fee.

Can I make changes to my order once I’ve reserved items?

If you are looking for add-ons, and as long as we have the extra pieces available, we will gladly make changes.

Changes must be made at least 60 days before and be swapped for other items of equal or greater value. Upholstered pieces, furniture, rugs, and decor cannot be removed from an order regardless of dates. 

Reductions for items such as dinnerware, drinkware, and flatware are limited to a maximum of 10%.

Will Unavia Vintage deliver?

May I pick up and return the items?

Self-pick-up and returns are always an option.

We'll ask about the vehicle you intend to use for transportation. We won’t let you drive away with racks of fine china in the back of your pickup truck, nor would we suggest you transport our barrels in the back of your uncle’s BMW!  China and glassware must be picked up in a car or SUV.  

You are responsible for all rental items during the rental period, including the transport time.

How long is the rental period?

Rates are based on a standard 72-hour period. Exceptions and extensions can always be made. This falls under the case-by-case scenario.

Caring For Our Rentals

What if I stain, break, or lose something?

We understand that accidents happen. Each item is unique and while it’s not irreplaceable, it isn’t easily replaced.  Our curated collection is carefully selected and can’t be found on Amazon nor readily available in typical retail stores. Therefore, we charge a replacement fee of up to six times the rental cost to repair or replace damaged or lost items.

How does cleaning work? Do I need to clean the items before I return them?

Leave the cleaning to us! 

Given the delicate nature of our items and our commitment to maintaining them in impeccable condition, we'll handle all the post-event washing ourselves.
